Executive Assistant - Fintech Founders
Job Description
We are looking for an experienced Executive Assistant to directly support and partner with both of Vise's Founders, ensuring their time is maximized amongst a range of competing priorities. You will be directly responsible for calendaring and scheduling, meeting preparation, travel and logistics, as well as general administrative support. This role is primarily onsite, working from our SoHo office.
What you will own
- Calendar Management: Build and maintain an understanding of priorities to effectively optimize the Founders’ time and prioritize commitments, while resolving all scheduling conflicts
- Meeting Preparation: Support the execution of internal and external meetings, prepare and distribute materials, and ensure proper coordination of logistics among attendees
- Create prep materials for meetings to ensure the Founders are well-prepared and informed on necessary context and participants involved; assist Founders by following up on tasks and/or action items resulting from meetings
- Travel and Logistics: Plan and organize domestic and international travel itineraries and process expense reports
- Administrative Support: Assist the Founders in managing projects and deadlines, as well as implementing processes to improve efficiency
- Partner with People Team to plan and organize corporate and social team events; including team off-sites, happy hours and dinners
What you bring on day one
- 2-5 years experience directly supporting executive leader(s) in an EA or Chief of Staff capacity
- Experience working as an admin in tech or a start-up environment
- Excellent organizational, time management, and critical-thinking skills; the ability to multitask, manage complex schedules, and navigate a fast-paced environment is essential
- High emotional intelligence and ability to diplomatically navigate complex situations
- Excellent written and verbal communication skills; ability to work well with executives, and able to manage and influence across multiple levels and multiple functions of an organization
- Unparalleled attention to detail and drive to take the initiative, with the professionalism to interact with employees and key external partners.
- Entrepreneurial, with high tolerance for ambiguity and complexity, and efficient with limited resources
- Understands and can anticipate the needs of the leadership team and the wider organization
- Highest level of integrity and management of confidential information
- Action oriented with excellent work ethic and initiative
- Technically savvy and proficiency with a broad suite of software tools, including Google Workspace, Slack and Zoom
Through the internal and market data Vise has collected, we expect the salary range for this position to be $90,000 - $115,000 per year and a competitive equity package. Your actual compensation will be determined based on your skills, qualifications, and experience. In addition, Vise offers a wide range of comprehensive and inclusive employee benefits.
